Terms

The terms for booking a retreat weekend with Emerald Vista Retreats, run by Emerald Vista Cabin LLC in Broken Bow, Oklahoma. Booking a spot means you accept these terms and the liability waiver shown during booking.

Booking, deposit, and balance

A 50% deposit holds your spot. The balance is due 30 days before the weekend starts. The price you see at booking is the full price for your booking; where taxes apply, they are included in that price, and nothing is added at checkout.

Your card on file

When you pay the deposit, your card is saved securely with our payment provider, Stripe, and you authorize us to charge the balance to that same card on its due date. You can pay the balance early, or update the card, at any time before the due date from your booking page. If a balance charge fails, we will tell you on your booking page and you can pay there or update your card.

Cancellations, transfers, and date changes

  • Your deposit is not refundable as cash.
  • Cancel 30 or more days before the weekend: anything you paid beyond the deposit is refunded, and the deposit becomes a credit toward a future weekend, good for 12 months.
  • Cancel inside 30 days: payments are not refunded. You may transfer your spot to a named guest free at any time, and you get one free date change to a future weekend when you ask 14 or more days ahead.
  • If another guest takes your spot after you cancel, everything you paid becomes a credit instead.
  • If you do not arrive, or you leave early, payments are not refunded.
  • We plan each weekend for six or more guests. At 14 days before the weekend starts, if fewer than five guests are booked, we may cancel the weekend for low enrollment. We will email every booked guest by that deadline if we cancel. If we have not emailed a low enrollment cancellation by that deadline, the weekend will run as planned. If we cancel, whether for low enrollment or for any other reason, we will refund everything you have paid, in full.

A transfer completes when the new guest accepts the waiver in her own name. Until then, the booking and any balance still due remain yours. We recommend travel insurance for peace of mind.

Who can come

Retreats are adults only. Every guest must be 18 or older, and every guest accepts the liability waiver in her own name before the weekend. Photo and video consent is a separate, optional choice for each guest and never affects a booking.
